Polite Refusal and Negotiation in Chinese
A refusal in Chinese is usually built from three parts: an acknowledgement, a difficulty, and an alternative. Leave out the alternative and even a grammatically perfect sentence reads as unhelpful; leave out the difficulty and it reads as evasive. Once you have the pattern, the same three moves cover a deadline you cannot meet, a price you cannot accept and an invitation you do not want.
The softeners

有点困难 (yǒudiǎn kùnnan) is softer than an absolute refusal and is understood as one. So is 不太方便 (bú tài fāngbiàn): 不太 (bú tài), “not very”, is the standard way to negate an adjective politely, and it is far more common in speech than a flat 不 (bù).
对我来说 (duì wǒ láishuō), “as far as I am concerned”, limits the claim to your own situation. That matters: it says the request is hard for you to deliver, not that the request is unreasonable.
Reserve 我需要确认一下 (Wǒ xūyào quèrèn yíxià) for cases where you genuinely will check. Used as a permanent stall it wears out quickly, and the follow-up you never send is noticed.
Refusing a deadline and proposing another
Partner: 我们周一可以完成吗?
(Wǒmen zhōuyī kěyǐ wánchéng ma?)
Learner: 这个对我来说有点困难。我们能不能周三完成?
(Zhège duì wǒ láishuō yǒudiǎn kùnnan. Wǒmen néng bu néng zhōusān wánchéng?)
Partner: 可以,我确认一下。
(Kěyǐ, wǒ quèrèn yíxià.)
能不能…? (néng bu néng …?) is the affirmative-negative question form, and it is gentler than 可以吗? (kěyǐ ma?) because it visibly offers both answers. The same shape gives 行不行? (xíng bu xíng?), 好不好? (hǎo bu hǎo?) and 是不是? (shì bu shì?).
Always attach a specific counter-offer. 周三 (zhōusān) can be accepted or refused; 我尽量 (wǒ jǐnliàng, “I will try my best”) cannot be planned around, and in practice it postpones the same conversation to a worse moment.
Protecting quality without blaming anyone
Partner: 这个今天一定要改完。
(Zhège jīntiān yídìng yào gǎi wán.)
Learner: 我担心今天完成会影响质量。我们先改最重要的部分,可以吗?
(Wǒ dānxīn jīntiān wánchéng huì yǐngxiǎng zhìliàng. Wǒmen xiān gǎi zuì zhòngyào de bùfen, kěyǐ ma?)
Partner: 可以,那就这样。
(Kěyǐ, nà jiù zhèyàng.)
我担心 (wǒ dānxīn), “I am worried that”, attributes the objection to a risk rather than to a person, which is why it survives being repeated to a third party. 那就这样 (nà jiù zhèyàng), “let us leave it at that then”, is the everyday way of closing an agreement — brief, and genuinely final.
Reducing scope is often easier to grant than moving a date, because the other person keeps their deadline. Offer the smaller version first.
Negotiating price or terms

The conditional 如果…的话 (rúguǒ … de huà) is the workhorse of a negotiation, because it lets you concede and ask in one sentence: 如果时间可以延一周的话,我们可以做完整版 (Rúguǒ shíjiān kěyǐ yán yì zhōu de huà, wǒmen kěyǐ zuò wánzhěng bǎn) — “if the timing can move by a week, we can do the full version”. 的话 (de huà) is optional but very common in speech.
商量的空间 (shāngliang de kōngjiān), “room to discuss”, asks about flexibility without naming a figure first, which is usually the better opening.
Declining an invitation
Colleague: 周末一起去爬山吧?
(Zhōumò yìqǐ qù páshān ba?)
Learner: 这个周末恐怕不太方便,下次一定去。
(Zhège zhōumò kǒngpà bú tài fāngbiàn, xià cì yídìng qù.)
Colleague: 好,那下次约。
(Hǎo, nà xià cì yuē.)
A social refusal needs a shorter difficulty and a warmer alternative than a work one — 下次一定去 (xià cì yídìng qù), “I will definitely come next time”, closes it kindly. Note the tone change in 一定 (yídìng): 一 (yī) is read yí before a fourth-tone syllable.
Put the outcome in writing
Anything that changes a commitment — a new date, a reduced scope, an agreed price — should be repeated in a message afterwards. Doing so in a second language is not distrust; it is how you find out whether 可以 (kěyǐ) meant the same thing to both of you. Work chat and email has the written forms.
